HOWTO: Install and Use Zope External Editor
The Zope External Editor is a useful collaboration tool. It allows you to edit documents that have been uploaded to the portal, then save your changes directly to the portal. This allows you to bypass the steps of saving the document (and changes) to your computer's hard drive then uploading the document again. You can also save your changes to the portal without closing the document you are working on. The Zope External Editor can be used with MS Word, MS Excel, and MS Powerpoint.
*Note: The Mac version of Zope External Editor is unsupported. These instructions for downloading and use apply to PCs only.
Downloading and Installing the External Editor
1. To download the Zope External Editor, navigate to http://plope.com/software/ExternalEditor.
- Scroll down until you see the Version 0.9.3 (2/20/2007) heading.
- Click on zopeedit-win32-0.9.3.exe
- When asked "Do you want to run or save this file?" select Save and save to your Desktop.
- Double-click on the icon, then click Run to begin the installation.
- Follow the instructions, making sure that the external editor program file is saved as c:\program files\ZopeExternalEditor.
3. Click on the Windows Start tab and locate the My Computer listing in the menu (You may also have a My Computer icon on your Desktop). Click on this icon.
- Double-click on the Local Disk (C:) icon.
- Locate the Program Files folder and double-click the folder.
- Locate the Zope External Editor folder and double-click the folder.
4. At this point, you will most likely need to turn on the file name extensions:
- Select the Tools tab at the top of the window.
- Select Folder Options from the drop down menu.
- Click the View tab.
- Find the Hide file extensions for known file types listing and un-check the box (making sure the box is empty).
- Click Apply at the bottom of the window, then OK.
5. Looking at the files in the Zope External Editor folder, locate ZopeEdit.ini and double-click (if you are using Windows XP, the file's icon will appear as a notepad and a cog)
Scroll down the list until you see the following (or until you reach the bottom of the list):

Making sure there is exactly one space after this listing, copy the information found below and paste it into the ZopeEdit.ini file (Make sure that this information appears exactly as it does below: alligned left, one space between each entry).

- After pasting the above information, locate the File tab at the top of the page and select Save from the drop down menu.
- Close the ZopeEdit.ini file.
6. Log in to the Portal.
- In the orange global preferences bar, just beneath the menu tabs, are several links. Click on the Preferences link. The Title of the page will change to My Preferences.
- Click on Personal Preferences and scroll down until you see the Enable external editing heading.
- Check the box.
Using the Zope External Editor
1. To determine if the External Editor is working properly, upload a MS Word, MS Excel or MS Powerpoint document to the Portal, saving it in My Folder.
- Once uploaded, DO NOT click on the file. Instead, locate the small pencil icon (located above the language flags and in the same row as the print icon). Click on this icon.
- A dialogue box will appear. In this dialogue box you should see:
- - Name: (name of file)
- - Type: Zope External Editor
- - From: www.portal.net
- Click Open at the bottom of the box.
- Make a few changes to the document that you will recognize later, then Save the changes as you normally would (Make sure to click Save and NOT the Save As command). The External Editor is designed to save your changes to the Portal, not to your computer's hard drive or jump drive.
- Close the document
- Reopen the document through the Portal, clicking on either the document's icon or the External Editor (small pencil) icon. Check to see that your changes have been saved.
2. The External Editor can be used with any MSWord, MSExel or MSPowerpoint document that you or others in your workgroup have saved to the Portal.
